Communicating Effectively with AI

AI responds best to clear, specific requests.

Clear requests get clear answers

AI responds to the words you actually give it — it can't read your mind or know details about your business unless you say them. Being specific about your goal (what you want to happen as a result) gets you a far more useful answer than a vague request. 'Write something for my business' is vague. 'Write a 3-sentence Instagram caption announcing my new braiding appointment times' is specific.

Give it context about your business

Context means the background details that shape a good answer: your type of business, your audience, your tone, and any constraints (like a word limit or a required phrase). The more relevant context you give, the less generic the answer will be. You don't need to write a paragraph every time — a sentence or two of context is often enough.

Ask follow-up questions instead of starting over

If an answer is close but not quite right, don't abandon it — ask a follow-up in the same chat: 'shorter,' 'more casual,' 'add a call to action,' or 'explain why you suggested that.' Treating it like a conversation, not a one-shot vending machine, usually gets you to a useful result faster.

Never share sensitive personal or financial information

Don't paste Social Security numbers, bank account or card numbers, passwords, or a customer's private details into any AI chat. Treat an AI chatbot like a public-facing tool, not a private vault — see Safety & Responsible Use for the full picture.

A real-world example

Instead of typing 'help with pricing,' a candle maker writes: 'I make soy candles that cost me about $6 each in materials and take 20 minutes of my time. I sell at a monthly market. Suggest 3 pricing options with the reasoning behind each.' That single, specific, context-rich message gets a far more usable answer than the vague version.

Steps to take

  1. Write down your goal for a task in one specific sentence before opening the chatbot.
  2. Add 1–2 sentences of real context about your business and audience.
  3. Send the prompt, then ask at least one follow-up question to refine the answer.
  4. Re-read your prompt before sending and remove any private numbers or customer details.
